
Terms and Conditions
Our terms and conditions explain what procedures/rules Ballet with Sophie will follow and clarifies what you as a parent/guardian/student are expected to follow and adhere to. By completing a registration form, you are agreeing to the terms and conditions listed below.
Fees, deposits, and refunds:
1. A fee is charged for each class enrolled in per term. You will be invoiced termly via the email used for registration, and the fees will be due in advance, settled by the payment date. This can be done via Bacs. Failure to pay will result in the student being unable to attend classes.
2. Any late payments will incur a surcharge of £10 if unpaid after 14 days.
3. Fees will only be paid pro rata when a student starts after a term has begun. The first trial session will be free of charge.
4. Participants enrol for termly classes and are expected to attend all sessions. No refunds will be given for non-attendance.
5. Term fees cannot be carried forward.
6. Payment can be made online via bank transfer. Please use the students surname as the reference.
7. The Principal, Sophie Auger, reserves the right to alter the price/times of classes at the beginning of the academy year.
8. Fees are currently exempt from VAT.
Register, absence, attendance and termination of classes:
1. A register of attendance and absence will be taken by the teacher and recorded for safety and security purposes.
2. If classes are cancelled due to reasons out of our control (i.e. adverse weather), then we will try to reschedule the class. If this were to occur, you would be notified by email. Cancelled classes will either be rescheduled where possible or a credit note will be issued. If offered and the student does not attend the replacement class, no credit note will be given.
3. Where a student misses a class, it may be possible to attend a ‘make up’ class but only with prior consultation with the office. No refunds will be given for non-attendance.
4. Students are assumed to be continuing with their classes and will automatically be re-enrolled each term unless formal written notification of a withdrawal is received. A four week’s notice in writing is required, otherwise four weeks fees will be charged. This notice should be sent to the office.
5. If a student withdrawals with fees outstanding, we reserve the right to pursue recovery of any debt left by all legal means.
Uniform:
1. All students must wear the uniform outlined by the school for every class.
2. For health and safety reasons all jewellery should be removed before class (other than small studs)
3. Hair must be off the face, neat and tidy for class. All students are required to have a ballet bun from Primary level upwards. If hair is short, then it should be securely pulled back with clips or a hairband.
4. Please name all uniform (including shoes) so we can reunite any lost property with the correct owner.
Permissions:
1. Medical consent: parents/guardians are required to give permission for immediate and necessary first aid treatment. This includes any emergency medical treatment recommended by competent authorities including emergency medical staff. If desired, parents/guardians can opt out of this during registration stages.
× It is the parents/guardians responsibility to ensure students (under 18) bring any necessary medical equipment or medication to activities.
× It is the parents/guardians responsibility to ensure that the school is kept up to date with any medical information (medical conditions, SEND or learning difficulties) that may affect the student while in our care
× Any injuries should be made clear to the teacher, prior to the start of class.
2. Photographic: during registration parents/guardians are asked to opt out of photographic consent for their child/themselves. The school may wish to take photographs or videos of students for marketing and advertisement purposes to be used on the website and social media platforms. Consent can be withdrawn at any time. No images of students under the age of 18 will be posted on our social media platforms without prior consent.
3. Watching classes is not permitted. We offer watching days at the end of the Autumn and Summer Term. Dates for these will be made available at the beginning of each academic year and will also be communicated to parents/guardians nearer the time.
4. Drop off/collection: parents/guardians are asked to drop off students directly before the start of their class and to always supervise them until they enter the studio. Every student under the age of 18 (unless an arrangement is made with the office) must be collection from the studio by a parent, guardian or carer.

Liability:
1. All teachers are fully qualified, DBS checked and insured.
2. All Ballet With Sophie teachers hold registered teacher’s status with the Royal Academy of Dance and follow the Code of Conduct and Professional Practice as set out by the Royal Academy.
× Ballet With Sophie reserves the right to refuse any student prior to or after enrolment. No refund will be issued if the Code of Conduct has been invoked.
Waiver:
1. Physical contact may be necessary by teachers to assist the students in their learning. This method will always be performed in a professional and careful manner, with the intention of contact made clear to the student. If you have any concerns regarding this, please contact the office or speak to the Principal.
Communication and correspondence:
1. Any communication will only be sent to the primary account holder of the student.
2. Ballet With Sophie cannot be held responsible for any delay or non-receipt of correspondence due to server downtime, incorrect contact details provided or any other circumstance outside its control.
3. It is the responsibility of the parent/guardian to ensure that we have the most up to date contact details.
Data protection:
1. Ballet With Sophie is committed to protecting and respecting your privacy.
2. Parents/guardians must provide up to date information in order to keep our records in compliance with GDPR regulations.
3. We will only hold your personal information on our systems for as long as is necessary.
4. Please be reassured that we will not release your information to other organisations unless we are required to do so by law. In all other instances, we would only share your information with another party, if you have given your explicit permission to do so.

Agreement to terms and conditions:
1. Customers are required to acknowledge their acceptance of the terms and conditions for each student by checking the relevant box during the application process.
2. The terms and conditions must be accepted in order to enrol in classes provided by Ballet With Sophie.
3. We reserve the right to change these terms and conditions at any time for the benefit of the business or participants.
